Definitions & Consent
Atmosphere Content refers to general footage, photography, and audio recordings that capture the overall environment, scenery, group activities, and ambience of the retreat. This includes wide-angle group shots, venue photography, nature footage, and general event coverage where no individual is the primary focus.
Session Content refers to footage, photography, or audio captured during workshops, ceremonies, breathwork, meditation, sound healing, or any facilitated session where participants may be in a heightened emotional, spiritual, or vulnerable state.
If you have selected Yes in the onboarding form, you grant The Tranquillity Retreats permission to capture, use, and publish Atmosphere Content that may include your likeness for promotional, educational, and marketing purposes across all media channels including but not limited to websites, social media, print materials, and video platforms.
Session Content that does not identify individual participants (wide shots, silhouettes, non-identifiable footage) may be used as Atmosphere Content under the general consent above.
Session Content showing participants in emotionally vulnerable states, including but not limited to somatic releases, tears, shaking, or other expressions of vulnerability during a session, will not be used without explicit individual written consent for the specific piece of content. This means you will be contacted separately after the retreat, shown the specific footage or image, and asked for your written approval before it is published anywhere. This protection applies to all participants regardless of the option selected in the onboarding form.
Your vulnerability is sacred.
If the team feels a sensitive moment has been captured and may be of value, we will approach you directly after the retreat, share the specific content with you, and request your explicit written permission before any use is made.
You are under no obligation to approve it. No vulnerable moment will ever be used without your individual post-retreat sign-off, regardless of which consent option you selected.
We will always treat it that way.
Your Rights & Boundaries
You may request to not be filmed or photographed during any specific session by informing a facilitator before that session begins. The production team will make reasonable efforts to honour your request. Opting out of specific captures does not revoke your general consent for Atmosphere Content.
This Media Consent does not cover testimonials. Any recorded testimonials, written reviews, or spoken endorsements require separate consent under The Tranquillity Retreats' post-retreat Testimonial Consent process. You will never be required to provide a testimonial, and any testimonial given during the retreat will not be published without your separate, signed approval obtained after the retreat has concluded.
The Tranquillity Retreats will not tag individual participants in any social media post without prior permission. If you would like to be tagged, you may opt in by informing us. Group photos posted to social media will not include individual name tags unless each person shown has provided consent.
Media captured during the retreat will not be shared with, sold to, or licensed to any third party without your explicit consent. This includes media agencies, news outlets, partner organisations, and commercial entities. The only exception is professional editors and production personnel working under contract with The Tranquillity Retreats for the sole purpose of producing retreat materials.
Data & Legal
Unedited raw footage and photographs will be retained for a maximum of 60 months (5 years) from the date of the retreat to allow for future archival and montage projects. After this period, all raw media not incorporated into published materials will be permanently deleted. Published materials (edited videos, selected photographs used in marketing) may be retained and used indefinitely under the terms of this consent.
Participants are welcome to take personal photographs and videos during free time, meals, and general social moments. Photography and recording during facilitated sessions is not permitted unless specifically authorised by a facilitator. Any participant-captured media shared on social media should respect the privacy of fellow participants.
No children or minors attend The Tranquillity Retreats. In the event that a participant is under 18 years of age, written consent from a parent or legal guardian is required in addition to this consent.
You may revoke your consent to future use of your likeness by providing written notice to The Tranquillity Retreats. Revocation applies to future publications only; content already published in good faith prior to receiving your revocation notice is not subject to recall, though The Tranquillity Retreats will make reasonable efforts to accommodate your request where practical.
You acknowledge that you will receive no financial compensation for the use of your likeness under this consent. The retreat experience and its associated services constitute the full consideration for this consent.
This consent is governed by the laws of England and Wales. Any disputes arising from this consent shall be subject to the exclusive jurisdiction of the courts of England and Wales.
The Tranquillity Retreats reserves the right to update this Media Consent prior to the commencement of the retreat. Participants will be notified of any material changes and may withdraw their consent if they do not agree with the updated terms.
